This genre deliberately has no humorous tonality. A joke aimed at a company that has just turned you down rarely reads as composed, and often as hurt. All four tonalities here are professionally defensible: they differ in closeness and length, not in seriousness.

📋 The 5 rules for a thank-you letter that works
A good thank-you letter after a rejection is shorter than most people think and more concrete than most people write. These five rules separate the message that gets kept from the one that gets clicked away.
- 11. Quickly, but not instantlyOne to three days is ideal. Immediately after the rejection sounds reflexive; after two weeks it feels contrived. After a final round the same day is fine, because there speed counts.
- 22. Keep it short, genuinely shortThree to five sentences are enough. Anyone writing half a page comes across as trying to overturn the decision. That impression alone ruins the effect.
- 33. Name one concrete memoryA detail from the interview, a project, something the other person said. That is the difference between a mail merge and a message to a human being who is meant to remember you.
- 44. Don't forget the retention sentence«You are welcome to keep my documents for future roles; I expressly consent to storage until …» It is the only sentence that turns politeness into a tangible advantage.
- 55. No bitterness, no ingratiationNeither «a shame you missed the opportunity» nor «I would be grateful for any role at all». Both are remembered, but in the wrong way. Factual and upright is the only posture that holds.
Without your express consent, your application file must be destroyed after the rejection. The thank-you is the moment to give that consent.
⚖️ Your rights after a rejection
Two legal points matter in the moment after a rejection, and both are regularly confused. The first concerns your data, the second a deadline that starts running with the rejection.
- Your documents: once the selection process is complete, the documents of rejected applicants must be returned according to the guidance of the Federal Data Protection and Information Commissioner, and copies must in principle be destroyed. They may only be kept longer if the applicant consents and a date is fixed in advance. That is exactly why this sentence appears in our talent pool templates.
- No duty to give reasons: there is no general right to be told the reasons for a rejection. You may still ask, and many companies do answer.
- Discrimination exception: anyone who suspects discrimination within the meaning of the Gender Equality Act may demand written reasons. Compensation under Art. 5 para. 2 GEA is forfeited unless proceedings are brought within three months of notification of the rejection, and amounts to at most three months' salary.
- Requesting deletion: you may demand at any time that your file, including notes and test results, be deleted. Templates for this are in the «return and deletion» category.
