How do you write a thank-you letter for support?

In five parts: greeting, the thanks in one sentence, one specific thing the person did, what it made possible, then a close and a sign-off. Three to five sentences are enough, one page is the maximum.

How do I thank someone professionally for help and support?

With a letter or email, «Dear Ms …» and «Kind regards». Name the specific help and the result. If a gift comes with it, choose its form carefully: in Switzerland, cash for your team is always salary.

How much can I give my team without it going on the salary certificate?

Since 1 January 2026, usual gifts in kind up to CHF 600 per calendar year and person. Vouchers count as gifts in kind. Above that, the full amount must be declared, cash always (salary certificate guidance, para. 72, administrative practice).

May I give a Swiss federal employee a gift to say thank you?

Only a gift in kind of minor value, in line with social custom, with a market value up to CHF 200 (Art. 93 Federal Personnel Ordinance), and nothing at all if the person is involved in a procurement or decision that concerns you. A letter is always allowed.

Can a thank-you letter serve as a donation receipt?

Yes, if it states the amount, date received, purpose and recipient, because the donation has to be documented for the tax office. Donations to tax-exempt organisations are deductible from CHF 100 a year and up to 20 percent of income (Art. 33a Federal Direct Tax Act).

Do you have to say thank you in writing for financial support?

It isn't required, but it's wise for larger amounts. Write down whether it's a gift or a loan. Swiss law treats them differently, and between siblings it can matter years later.

Is it rude to say thank you on WhatsApp?

No, among friends, neighbours and colleagues WhatsApp is the normal way today, ideally the same evening. For managers, business partners, authorities and after major help, a letter or card remains the better choice.

Which sign-off should I use in a business thank-you letter?

«Kind regards» is the neutral business standard, «Yours sincerely» more formal, «Warm regards» a little more personal. In Switzerland's German-speaking letters the equivalent is «Freundliche Grüsse», always written with ss.

🙏 Thank you for your support: what belongs in the letter

Writing «thanks for everything» says nothing. The sentence that sticks names one thing: the box someone carried up to the third floor at half past six, the phone call after the doctor's appointment. That's why 30 of our templates leave a gap like «[specific example]». Fill exactly that one, and the letter sounds like you.

And shorter isn't ruder. We counted all 140+ templates: formal texts have a median of 56 words, warm ones 55. Formality comes from the greeting and the sign-off, not from length. A WhatsApp thank-you gets by with a median of 18 words, a letter with 59, and the shortest in the whole archive has 4.

💼 Business thank-you letter: the text and what comes with it

The limit went up and still got stricter. Until the end of 2025, usual gifts in kind to employees stayed off the salary certificate up to CHF 500 per occasion: so at Christmas and again on a birthday. Since 1 January 2026, the Swiss tax authorities' guidance sets CHF 600 per calendar year, everything together. Above that, you don't declare the difference but the full amount. That is what the 2026 salary certificate guidance, para. 72 says (German, French and Italian only).

Two consequences surprise almost everyone. A voucher counts like a bottle of wine, not like money: the Swiss Tax Conference explicitly treats vouchers as gifts in kind. And a twenty-franc note in the envelope is always salary, however small. For your letter that means: the words are never the problem, the envelope next to them sometimes is. Thank customers, partners or your team in words, and choose the form of any gift before the amount. For partners, managers and teams, there are 12 emails here and the letters as files.

The federal government has its own limit. Federal staff may not accept gifts or other advantages where this happens in the course of their employment (our paraphrase of Art. 21 para. 3 of the Federal Personnel Act; there is no official English version of Swiss federal law). The exception is advantages of minor value, which the Federal Personnel Ordinance defines as gifts in kind with a market value of no more than CHF 200 (Art. 93 para. 1). Anyone involved in a procurement or decision may not accept even that. For teachers, cantonal rules apply, and we have checked them one by one: gift limits for teachers by canton.

🤝 Club & committee thank-you: for helpers, donors and the committee

The hours a club is most grateful for are worth nothing for tax. Someone who spends a Saturday at the grill can't deduct it: the Zurich cantonal tax office explicitly lists volunteer work among what is not deductible. The donor's hundred francs, on the other hand, are. Under Art. 33a of the Federal Direct Tax Act, donations to tax-exempt organisations can be deducted if they reach at least CHF 100 in the tax year, up to 20 percent of income (our paraphrase).

So helpers and donors need two different letters. The helper needs recognition: what they carried, for how long, what wouldn't have happened without them. The donor also needs proof, because the donation has to be documented for the tax office. A letter with amount, date, purpose and recipient does both at once. There are dedicated templates for committee members stepping down at the AGM and for members thanking the committee. Saving tip

Only write the tax-exemption sentence if it's true. Our template «Donation thank-you with the details for your tax return» has it in square brackets. Whether a club is exempt for charitable purposes is decided by the cantonal tax administration, not the committee.

💰 Financial support: say thank you and name what it was

«Thanks for the gift» and «thanks for the loan» describe two different contracts. A gift enriches someone without a matching return (Art. 239 of the Swiss Code of Obligations); with a loan, the borrower undertakes to pay back the same amount (Art. 312). Between parents and children a third word comes in: under Art. 626 para. 2 of the Civil Code, what parents give their children as a dowry, a start in life, a transfer of assets or a waived debt is to be balanced out between the heirs, unless the parent has expressly ordered otherwise (our paraphrase; the law is official only in German, French and Italian).

What parents gave a child during their lifetime is taken into account when the estate is divided, so that siblings are treated equally. For start-in-life payments, transfers of assets and waived debts to descendants this is the legal default, unless the parent expressly ordered otherwise (our paraphrase; no official English version exists).

A thank-you letter doesn't decide this. The exemption from balancing out has to come from the parents, not the child. But the letter records what both of you meant at the time, and years later that is exactly the question. That's why there are two templates that say it plainly: «a gift, clearly named» and «a loan, with a repayment plan». Context

Mention the amount or not? For birthday money, no: it sounds like bookkeeping. For a loan and for large sums from parents, yes: there the number is the content.

Three clocks run out on 31 December. Donations count for the tax year in which they are made. The CHF 600 limit for gifts to your team applies per calendar year. And if you thank someone by post: from 1 January 2027 an A-Post letter costs CHF 1.40 instead of 1.20 (Swiss Post, 6 August 2026).

Since 2026, gifts in kind to your team stay off the Swiss salary certificate up to CHF 600 per calendar year. Before, it was 500 per occasion. The number went up, the rule got stricter.

A good thank-you letter has five parts and fits on one page. Every one of our 70 files fits on one page. The order below is the order in which you write.
